Event Planning Guide: Optimal Food and Beverage Quantities

When planning an event, determining the right amount of food and drinks is crucial. Here’s a streamlined guide focusing on the key quantities you might consider.

For dishes and appetizers, aim for 10 to 15 pieces per person if the event overlaps with main meal times and lasts over two hours.

 For a cocktail or reception outside meal times, 5 to 7 bites per person per hour should suffice. This accounts for both shorter and longer gatherings.

Regarding beverages, plan for about two drinks per person for the first hour and one additional drink per person for each following hour. This rule applies to both alcoholic and non-alcoholic options. Always ensure there’s a good mix of both, including plenty of non-alcoholic choices like water, juices, and sodas.

Adding an extra 10% to your estimates can cover unexpected guests or increased consumption, ensuring that you’re prepared for any situation. Adjusting based on what you know about your guests and their previous behavior at events can also help tailor the quantities more accurately, enhancing both guest satisfaction and budget management.
