Permits, Town parks and the questions to settle first

Cutler Bay reviews events through its own special-event process, and Town park reservations run on a separate track from that review. For a station that cooks on-site, both usually decide your date before the menu does.

Special-event permits (Ordinance Sec. 3-169)

  • The Town treats an event or activity that temporarily occurs on public or private property and affects the ordinary use of a park, public street, right-of-way or sidewalk as a special event requiring an approved permit.
  • Applications are submitted on the Town's form and reviewed by the police department, the building official and the public works director.
  • A permit can be approved, approved with conditions or denied, so build review time into your timeline instead of assuming approval.

Town park pavilions and facility rentals

  • Town parks including Saga Bay Park, Cutler Ridge Park, Franjo Park, Lakes by the Bay Park and Blue Heron Park are reserved through Parks and Recreation, not booked informally.
  • The Town asks for reservation requests at least one week before the event, and notes that submitting the form is not a confirmation until staff confirm and payment is processed.
  • Deposits and card-processing fees apply to Town rentals; confirm current amounts and refund conditions with Parks and Recreation.
  • Park hours run sunrise to sunset, which shapes when a two-hour service window can realistically run outdoors.

Seven things to confirm

  • Covered cooking area. Clubhouse interior, community room, a park pavilion roof or a tent. Uncovered placement is the most common reason a station has to move on the day.
  • Power, and how far away it is. Identify the nearest usable outlet or panel and the distance to the station. Pavilions and community rooms vary widely, so we confirm the real requirement with the venue instead of assuming what a circuit carries.
  • Load-in path. Gate or guardhouse notification at gated communities, parking distance, curbs, doors and any stairs between the vehicle and the station.
  • Guest flow. Set the line so it does not cut across the bar, the dance floor or the main walkway, and leave the chef a working side that guests are not standing in.
  • Service window. The two hours of live preparation can run as a late dessert moment or alongside the meal. Outdoors in a Town park, it also has to fit inside approved daylight hours. Pick one before the timeline is built.
  • Venue approval. Ask your HOA, community room or venue what it requires from an outside caterer and what vendor documentation it wants on file, and how far ahead it wants it.
  • Weather and wind. South Florida heat, afternoon storms and open-sided pavilions near the bay all affect a cooking station. Decide the covered or indoor fallback before invitations go out.
