Parkland planning

Permits, pavilions and the questions to settle first

Two things usually decide a Parkland date before the menu does: whether the City's special-event permit applies to your setup, and, if you are outdoors on City property, how pavilion reservations work. Both run on the City's timeline rather than yours.

Special-event permits

  • The City of Parkland requires a special-event permit for any organized activity or event that impacts City services, or that involves the use of or has an impact on public or private property, public facilities, sidewalks, medians or street areas.
  • Applications are handled through the City's special events function within Parks and Recreation and are reviewed on a first-come, first-served basis.
  • A refundable security deposit is required no later than 14 days before the event date.
  • Mobile food vendors carry their own City requirements, and appearing on an approved vendor list does not replace them.
  • Read the current requirements on the City of Parkland special events permit page and confirm your specific event, property type and cooking setup directly with the City.

Pine Trails Park and the City's rentable pavilions

  • Pavilions are available at Pine Trails Park, Terramar Park, Liberty Park and the Equestrian Center at Temple Park.
  • Only Parkland residents may reserve a pavilion. Reservations are required on weekends and City holidays, and during the week for groups larger than ten.
  • Reservations run in four-hour blocks, from 9:00 AM to 1:00 PM or 2:00 PM to 6:00 PM, with up to two parties per day. A two-hour service window has to sit inside that block along with setup and breakdown.
  • Posted capacities are modest — Pine Trails Park pavilions 1 to 3 are listed at 30 people — so a 25-guest minimum can sit close to the limit at the smaller shelters.
  • Availability, fees and the reservation process are on the City of Parkland pavilion rentals page. Confirm with the City whether bringing in an outside cooking vendor also triggers special-event review.

VNV Events does not apply for, obtain or guarantee permits, pavilion reservations or venue approvals. Permitting, reservations and HOA or clubhouse approval are the responsibility of the host, the venue or your planner. What a live station needs from your Parkland venue

A crepe station is cooking equipment placed in a guest-facing spot, so a short walkthrough answers most of it before anyone signs anything.

Eight things to confirm

  • Covered cooking area. Clubhouse interior, covered terrace, lanai or a tent. Uncovered placement is the most common reason a station has to move on the day.
  • Power and access. Identify the nearest usable power source and how far it sits from the station. We confirm the actual requirement with your venue instead of assuming what a circuit or a park outlet can carry.
  • Gate and guardhouse. In Parkland's gated communities, vendor names, vehicles and the load-in window usually need to be filed with the guardhouse or HOA office ahead of the date.
  • Load-in path. Parking distance, gate widths, curbs, stairs and door widths between the vehicle and the station spot.
  • Guest flow. Place the queue so it does not cut across the bar, the dance floor, a main walkway or a park pathway.
  • Service window. The two hours of live preparation can run as a late dessert moment or as part of the meal. If you are inside a four-hour pavilion block, decide where those two hours land before the timeline is built.
  • Venue approval. Ask your HOA clubhouse, club or the City what documentation and vendor approval an outside caterer needs, and how far ahead it must be submitted.
  • Weather contingency. South Florida heat and afternoon rain both matter. Decide the indoor or covered fallback position in advance.
