It depends on the property and the setup. The City of West Palm Beach reviews and permits special events on private property through its Development Services department, and its definition of a special event includes gatherings intended or likely to attract 25 or more people, events needing parking beyond what the site authorizes, events using valet, and events unlike the customary activity for that property. Applications require a site map showing items such as tents with dimensions, stages, temporary electric and generators, plus a parking plan, and the City asks that private-property applications be submitted at least four to six weeks before the event. Tents larger than 10x10, portable generators, stages and signs or banners require separate building permits. Events on City or public property go through the Community Events division instead. Confirm your specific event directly with the City. VNV Events does not apply for or guarantee permits.

City pavilion rules state that no grills or propane are to be brought into the park area for use and that propane cooking is prohibited, and tents or extra tables are allowed only with advance approval from Parks and Recreation. Reservable pavilions at parks including Dreher, Gaines, Howard, Lincoln, Phipps and South Olive hold up to 75 people for large pavilions, 40 for medium and 20 for small. An indoor community-center room or hall is generally the more workable route, and you should confirm with Parks and Recreation what cooking equipment the specific space allows before reserving.
