West Park planning

Park rentals, approved vendors and the cooking rules

West Park is a small city with three City parks and a short, specific rulebook for who may cater on them and where cooking may happen. If your event is on City property, these rules usually decide your date before the menu does.

City park rentals and approved vendors

The City's Parks and Recreation Department manages pavilion, field and court rentals at Mary Saunders Park, McTyre Park and Water Tower Park.
Reservations and payment must be made at least two weeks (14 days) before the event, and spaces may be requested up to six months in advance, subject to availability.
Services such as catering must be obtained from an authorized, city-approved vendor and approved by City staff 14 days before the rental date; the City states that unauthorized vendors will not be allowed on the premises on the day of the event.
Pavilion occupancy is limited to 60 people for a large pavilion and 40 people per small pavilion, so check your guest count against the space before you commit.

Cooking, timing and paperwork

Under the City's park rules, cooking of food must be done in prescribed areas only, and any unusual equipment or activity has to be approved by Parks and Recreation and noted on the reservation form.
Set-up may not begin more than 30 minutes before the rental period, 30 minutes of set-up time is given as a courtesy, and no time is allotted after the rental for clean-up.
Pavilion, field and court rentals must be completed by 6:00 pm on weekends and by 10:00 pm on weeknights unless the event is separately permitted.
Proof of insurance naming the City as an additional insured may be required depending on the type of event, and delivery vehicles must remain in designated parking areas unless staff approves otherwise.
The City also notes that Broward County and the State of Florida may require permits or licenses when food is to be sold, and makes that the permittee's responsibility.
Separately, the City's yard sale, bazaar and market registration for churches and not-for-profits applies only to events with no cooking and no gas or electric appliances, so a live station does not fit that route. See City services, and take tent or temporary-structure questions to the Building Department.

VNV Events does not apply for, obtain or guarantee permits, City approvals or placement on any city-approved vendor list. Permitting, insurance and approvals are the responsibility of the host, the venue or your planner. We will give you the setup details and documentation you need to answer the City's or the venue's questions accurately, and we recommend confirming your specific event directly with the City of West Park.

Seven things to confirm

Covered cooking area. A hall interior, a covered patio, a pavilion roof or a tent. Uncovered placement is the most common reason a station has to move on the day.
Approved cooking spot. On City park property, cooking is restricted to prescribed areas, so identify the exact spot with park staff rather than assuming the pavilion table will do.
Power and distance. Find the nearest usable power source and measure how far it sits from the station. We confirm the actual requirement with your venue instead of assuming what a circuit can carry.
Load-in path. Parking distance, gates, door widths and stairs between the vehicle and the station, remembering that delivery vehicles are expected to stay in designated parking at City parks.
Service window. The two hours of live preparation can run as a late dessert moment or as part of the meal. On a City park rental, that window plus set-up and breakdown has to fit inside the reserved time and the 6:00 pm weekend cutoff.
Venue approval. Ask the hall, church or City what it requires from an outside caterer: vendor approval, documentation and any insurance naming the property as additional insured.
Weather contingency. South Florida heat and afternoon rain both matter. Decide the indoor or covered fallback position in advance.
