Site logistics

What a live station needs on site

These details decide whether the station runs smoothly, and most of them are easier to settle weeks out than on the day. Review them with your venue or the Village early, then confirm them in the written proposal.

Covered cooking and service area

The cooking and service line needs to sit under solid cover — a roof, a porch, a covered terrace, a carport or a tent approved for the location. Open yard with no cover is the most common reason a station has to be repositioned once the crew arrives.

Venue-approved safe power

Confirm with the homeowner, Village Hall or the venue what power exists at the station position and whether it may be used for catering equipment. The station's actual power requirements are stated in the proposal rather than assumed on site, and generators may trigger additional review at a Village or public location.

Load-in path

Map the route from where a vehicle can legally park to the station position: gate widths, side-yard access, steps, curbs, grass runs and total distance. On residential streets, parking is often the constraint rather than the yard itself, so flag it before the event date.

Guest queue and flow

Leave room for guests to line up without blocking the bar, walkways, restrooms or the dance floor. Approaching from one side and exiting the other keeps the line moving, which matters in a compact yard or community room where the whole event shares one circulation path.

Service window

The package includes two hours of live-chef service. Fix the start time against the run of show so the station does not open during toasts or a program block, and confirm any change to that window in writing.
