What a live station needs on site

These are the details that decide whether the station runs smoothly on the day. Walk through them with your venue early, then confirm them in the written proposal.

Covered cooking and service area

The cooking and plating area needs solid cover — a roof, a lanai, a covered terrace, a clubhouse room or a pavilion or tent approved for that location. Open turf with nothing overhead is the most common reason a station has to be repositioned after arrival.

Safe, venue-approved power

Ask the venue what power is available at the intended station position and whether it may be used for catering equipment. The station's actual power requirements are stated in your proposal rather than assumed on site, and bringing a generator to a Town park or public location may trigger additional review.

Load-in path

Map the route from the unloading point to the station: gate widths, elevator access, stairs, curbs, grass runs, gated-community access procedures and total distance. A long or restricted path changes setup timing and should be flagged before the event date.

Guest queue and flow

Leave room for a line that does not block the bar, walkways, restrooms or the dance floor. For larger counts, plan the approach from one side and the exit from the other so the queue keeps moving instead of doubling back on itself.

Service window

The package includes two hours of live-chef service. Fix the start time against the run of show so the station does not open during toasts, a program block or a photo set, and put any change to that window in writing.

Venue approval
