These are the details that decide whether the station runs smoothly. Review them with your venue or the Village early, then confirm them in the written proposal.

Live cooking needs to sit under solid cover: a roof, a lanai, a covered terrace, a park shelter or a tent approved for that location. Open turf with no cover is the most common reason a station has to be repositioned on the day.

Venue-approved safe power

Confirm with the venue, the clubhouse manager or Village staff what power is available at the station position and whether it may be used for catering equipment. The actual power requirement for the station is stated in your proposal rather than assumed on site, and generators may trigger additional review at Village locations.

Load-in path

Map the route from the unloading point to the station: gate codes and widths at gated communities, elevator access, stairs, curbs, grass runs and total distance. A long or restricted path affects setup timing and should be flagged before the event date.

Guest queue and flow

Leave room for guests to line up without blocking bar access, walkways, restrooms or the dance floor. For larger counts, plan the approach from one side and the exit from the other so the line keeps moving.

Service timing

The package includes two hours of live-chef service. Fix the start time against the run of show so the station is not opened during toasts or a program block, and confirm any change to that window in writing.

Venue and Village approval

Some venues, clubhouses and HOA rooms restrict onsite cooking, open flame, equipment placement or vendor load-in hours. Get written confirmation that a live cooking station is permitted in the intended position, and check whether your park reservation covers outside vendors.
