Site logistics
What a live station needs on site
These are the details that decide whether the station runs smoothly, and most of them are also the answers a clubhouse manager or City reviewer will ask for. Review them with your venue early, then confirm them in the written proposal.
Covered service and cooking area
Live cooking needs to sit under solid cover: a clubhouse roof, a lanai, a covered terrace or a tent approved for the property. Open turf with no cover is the most common reason a station has to be repositioned on the day.
Venue-approved safe power
Confirm with the venue or property manager what power is available at the exact station position and whether it may be used for catering equipment. Actual power requirements for the station are stated in the proposal rather than assumed on site, and a generator becomes another item on the City's site plan.
Load-in path
Map the route from the unloading point to the station: gate codes, gate widths, elevator access, stairs, curbs, grass runs and distance. Gated communities and clubhouse complexes often add a check-in step, so flag it before the event date.
Guest queue and flow
Leave space for guests to line up without blocking bar access, walkways, restrooms or the dance floor. On the larger guest counts common here, plan the approach from one side and the exit from the other so the line keeps moving.
Service timing
The package includes two hours of live-chef service. Fix the start time against the run of show so the station is not opened during toasts, a presentation or the quinceañera program, and confirm any change to that window in writing.
Venue approval
Clubhouses, schools and event halls may restrict onsite cooking, open flame, equipment placement or vendor load-in hours. Get written confirmation from the property that a live cooking station is permitted in the intended position, since that authorization is separate from your room or field reservation.
Weather fallback
South Florida heat and afternoon storms are a planning input, not a surprise. Identify an indoor or covered alternate position for the station, check that it still has approved power, and agree in advance who makes the call and by when.
Coordination
Share the floor plan, timeline and venue contact early so the station position, power and service window are settled before the final proposal. Contact the team with the details you already have.
