Covered cooking and service area
The cooking and serving position needs solid cover overhead, whether that is a hall interior, a lanai, a covered terrace or a tent approved for the site. Open turf with no cover is the most common reason a station has to be moved on the day, which costs setup time you had planned to spend elsewhere.
Safe, venue-approved power
Ask the venue what power exists at the station position, how far away it is, and whether it may be used for catering equipment. The actual power the station requires is stated in your proposal rather than assumed on site, and nothing should be plugged in until the venue has approved that circuit for this use.
Load-in path
Map the route from the unloading point to the station: gate widths, elevator access, stairs, curbs, grass runs and total distance. In the airport corridor the arrival window also has to absorb traffic, so flag a long or restricted path well before the event date.
Guest queue and flow
Leave room for guests to line up without blocking bar access, walkways, restrooms or the dance floor. For larger counts, plan the approach from one side and the exit from the other so the line keeps moving instead of doubling back on itself.
Service window
The package includes two hours of live-chef service. Fix the start time against the run of show so the station is not opened during toasts or a program block, and confirm any change to that window in writing.
Venue approval
Some venues restrict onsite cooking, open flame, equipment placement or vendor load-in hours, and the rules are often stricter than anything the Village or County requires. Get written confirmation from the venue that a live cooking station is permitted in the intended position.
Weather contingency
South Florida heat and afternoon storms are a planning input, not a surprise. Identify an indoor or covered alternate position for the station and agree in advance who makes the call to move it and by what time.
