West Park planning

Park rentals, approved vendors and the cooking rules

West Park is a small city with three City parks and a short, specific rulebook covering who may cater on them and where cooking may happen. If your event is on City property, those rules usually decide the date and the layout before the menu does. Use the points below as a starting checklist and verify current requirements directly with the City.

Park rentals and approved vendors

  • The City's Parks and Recreation Department manages pavilion, field and court rentals at Mary Saunders Park, McTyre Park and Water Tower Park.
  • Reservations and payment must be made at least two weeks (14 days) before the event, and spaces may be requested up to six months in advance, subject to availability.
  • Services such as catering must be obtained from an authorized, city-approved vendor and approved by City staff 14 days before the rental date; the City states that unauthorized vendors will not be allowed on the premises on the day of the event.
  • Pavilion occupancy is limited to 60 people for a large pavilion and 40 people per small pavilion, so check your guest count against the space before you commit to a station plan.
  • Proof of insurance naming the City as an additional insured may be required depending on the type of event, and delivery vehicles must remain in designated parking areas unless staff approves otherwise.

Cooking, timing and paperwork

  • Under the City's park rules, cooking of food must be done in prescribed areas only, and any unusual equipment or activity has to be approved by Parks and Recreation and noted on the reservation form. A live pasta station is cooked to order on site, so it should be described on the form rather than treated as a drop-off buffet.
  • Set-up may not begin more than 30 minutes before the rental period, 30 minutes of set-up time is given as a courtesy, and no time is allotted after the rental for clean-up. That window has to absorb load-in, station build and breakdown around the two hours of live-chef service.
  • Pavilion, field and court rentals must be completed by 6:00 pm on weekends and by 10:00 pm on weeknights unless the event is separately permitted, which affects when the station can open.
  • The City also notes that Broward County and the State of Florida may require permits or licenses when food is to be sold, and makes that the permittee's responsibility.
  • Separately, the City's yard sale, bazaar and market registration for churches and not-for-profits applies only to events with no cooking and no gas or electric appliances, so a live pasta station does not fit that route. Site logistics

What a live pasta station needs on site

These are the details that decide whether the station runs smoothly, whether the event is in a backyard, a community room or a reserved pavilion. Review them with your venue or with Parks and Recreation early, then confirm them in the written proposal.

Covered service and cooking area

The cooking side of the station needs to sit under solid cover: a pavilion roof, a patio, a carport, an interior service area or a tent approved for the location. On City property, cooking must also sit within the prescribed area rather than wherever the layout is most convenient.

Safe, venue-approved power

Confirm with the venue or the City what power exists at the intended station position and whether it may be used for catering equipment. Actual power requirements are stated in the proposal rather than assumed on site, and a generator counts as unusual equipment that has to be approved and noted on a park reservation form.

Load-in path

Map the route from the unloading point to the station: gate widths, door swings, stairs, curbs, grass runs and distance. In a park, delivery vehicles must stay in designated parking areas unless staff approves otherwise, so plan for a carry rather than a drive-up.

Set-up window

Park rentals give 30 minutes of courtesy set-up, no earlier than 30 minutes before the rental period, with no time allotted afterward for clean-up. Decide early whether the schedule works inside that window or whether the event needs a different venue or a separate permit.

Guest queue and flow

Leave room for guests to line up without blocking the pavilion tables, walkways, restrooms or the drink area. Approach from one side and exit from the other so the line keeps moving, which matters in a 40- or 60-person pavilion where the queue and the seating share the same footprint.

Service timing

The package includes two hours of live-chef service. Fix the start against the run of show and against the 6:00 pm weekend or 10:00 pm weeknight cut-off for City rentals, and confirm any change to that window in writing.
