VNV Events LLC - Service Agreement

Thank you for choosing VNV Events LLC to bring your vision to life. We take pride in delivering exceptional event planning and coordination services to ensure a seamless and memorable experience.

This contract outlines the terms and conditions of our services, ensuring clarity and transparency between both parties. By entering into this agreement, the client acknowledges and agrees to the policies regarding payments, scheduling, responsibilities, and liability to facilitate a smooth and professional collaboration.

Payments

After the first meeting with the client by Facetime, Phone or Zoom and knowing with client`s necessities, we present them a proposal . After accepting the proposal, we can change and discuss more details about details to final design and specifications about the event services requested .

A noun- refundable retainer has to be made for amount of 50% of the total amount to reserve the event day. Your contract begins as soon as the 50% down payment is processed. We do not guarantee the reservation for a selected date until we receive the first payment. 
 
The client must make the second and final payment at least two days before the date of the event. Failure to comply with this requirement will result in the cancellation of the event without the right to a refund.

We do not accept cash as part of the payment for our services; we only use our digital point of sale (Square or Stripe) or bank transfer. 

If the client requires an extension of our services during the event, Our company will generate a new contract, and it should be fully paid up to 48 hours after the event culmination.

General Information Policy

The client must provide the exact address and server staff access to the location at least one hour before the event, and at least three hours for technicians, decorators, assistants, and event coordinators. Additionally, we require at least two hours after the event for the breakdown of all equipment. If the client cannot provide this, they must notify us at least 48 hours before the event. Additional charges may apply for extra installation staff or equipment. Otherwise, our company will not be held responsible for delays in the event start time.

If, for any reason, any inventory hired from our company must remain at the client’s location, the client must provide the date and time for pick-up, no later than 72 hours after the event’s conclusion. Otherwise, the client will be responsible for paying the total value of the inventory left at the location.

VNV Events is not responsible for costs incurred due to the extended presence of our equipment or staff at the event location.

The client must provide an email, a phone number, a secondary phone number, and the name of the primary contact person for the day of the event.

For events held in clubs, hotels, halls, or other social facilities, the client must also provide the name of the venue, the name of the person in charge, and details of access routes. Failure to provide this information may result in the event’s cancellation without the right to a refund.

All services must take place indoors or under awnings. If the client requires VNV Events to provide a tent, this will incur an additional cost and must be requested at least three days before the event date. Otherwise, our company reserves the right to cancel the event without a refund.

For any electric equipment hired by the client or required for the services provided, VNV Events LLC requires access to at least two power outlets within 10 feet of the equipment.

Upon arrival at the location, the client must provide information regarding the installation of equipment and any logistical instructions.

All event details, such as dishes, decorations, DJ or musician playlists, protocols, lighting levels, show schedules, and pyrotechnics, must be sent to our representative via email at least 48 hours before the event. Otherwise, our staff will proceed with the event according to VNV Events’ criteria.

VNV Events reserves the right to capture photos and videos of the event for use on our social media platforms and promotional materials. If the client does not approve, they must notify us in writing via email at info@vnvevents.com.

The client and their guests are expected to treat VNV Events employees respectfully during the event. Failure to do so may result in the termination of this contract and the event without a refund.

Liability & Special Event Insurance

It is understood that VNV EVENTS LLC is only liable for services completed and provided by VNV EVENTS LLC and cannot be held liable for the services of other contracted vendors. It is understood that in no event shall Consultant be liable for consequential damages of any kind.

If the Venue requests Special Event Insurance, the cost of the insurance will be included in the client’s invoice. This requirement must be notified at least 7 days in advance of the event.

Cancellation & Postponement Policy

Suppose VNV Events LLC decides to cancel the contract for a reason other than the one specified in this contract. In that case, the full amount of the initial payment will be refunded to the client at 100%, terminating this contract with no further liability to the company (VNV Events LLC) or the client.

Any changes/cancellations made to this contract must be made in writing and signed by all parties.

VNV Events LLC will always do its best to find the top suppliers wherever the event location is, but we cannot be held responsible for any supplier/service provider’s performance or product.

Cancellation by the Client:
In the event of a cancellation, refunds are limited to unearned fees. Deposits are non-refundable and any earned fee will have to be paid in full within 30 days of cancellation.

Cancellation by VNV Events LLC :
In the event Vnv Events LLC be unable to perform any specific tasks in the planning of a event, due to the event planner’s illness or hospitalization, unearned fees will be refunded, and we will do our best to find a substitute event Planner.

VNV Events LLC is not responsible for any events preventing the event to happen, such as fire, flood, earthquake, or any other natural or human acts.

Terms and Conditions for Wedding and Event Planning Services

Changes and Cancellations: All changes or cancellations must be in writing. If the event date or location changes, VNV Events LLC will assist in transferring bookings, but non-refundable expenses or additional fees are the client’s responsibility. Deposits are non-refundable, and earned fees must be paid within 30 days. In case of emergencies or illness, unearned fees will be refunded, and a substitute planner may be arranged.

Client Responsibilities: Clients must pay vendors directly and ensure payments to VNV Events LLC are made on time. Late payments may result in contract termination. Travel costs apply for venues over 50 miles round trip. Event items must be purchased in advance unless prepayment is provided for VNV Events LLC to assist.

Planner Responsibilities: VNV Events LLC will assist with budgeting, vendor selection, and event coordination, including supervision on the event day until the agreed time. Additional travel costs apply for locations over 50 miles. In case of vendor cancellations, replacements will be arranged, with any extra costs covered by the client

Client Support & Communication with Sales Team

At VNV Events LLC, we value client collaboration to enhance our services. While we strive to provide accurate and timely information, all timelines mentioned are estimates and may vary depending on specific circumstances. The following guidelines outline our communication and service delivery process:

  1. Response Time for Estimates
    Our working hours are Monday to Friday from 9:00 AM to 6:00 PM. When a client requests an estimate, they will receive it within two hours, unless further research is required. If the estimate is not received within this timeframe, the client should contact our team for quality control adjustments.

  2. Access to the VNV Events System
    Once the payment is processed, the client will receive access credentials to the VNV Events system, where they can view all details related to their event.

  3. Event Logistics Confirmation
    No later than two days before the event, the client will receive a detailed report from their sales representative, including:

    • The team assigned to their event
    • Estimated setup and teardown times
    • Contact details for the Event Manager, who will be supervising the event and available for direct communication on the event day.
  4. Liability Insurance Copy
    The client will receive a copy of the Liability Insurance document at least 24 hours before the event.

If any of the above information is not received within the indicated timeframe, the client should contact us immediately to ensure corrective actions are taken.
